Integrating Mindmatrix with Microsoft Dynamics CRM

Microsoft Dynamics CRM Integration

Reach out to Mindmatrix Support to ask for this integration prior to attempting integration. A specialist will assist you with the integration. 

 

Login to your MS Dynamics account

You will be directed to the main page after login.

 

 

 

Click on the icon and then on “Settings”.

 

 

 

 

Click on the “Customization” tab.

 

Click on “Solutions”.

 

 

Click on the “Import” button.

 

 

Click on “Choose File”.

 


Select the “AMP Solution.zip” file saved in your computer & click on “OK”. 

 


Click on “Next” to proceed.

 


Click on “Import”.


 

Click on “Close

 

 

Now click on the “Customizations” button

 


Click on “Customize the System

 

 

Click on the arrow next to “Entities

 

Double click on “AMP Login

 

 

Check all the boxes under the “Areas that display this entity” section

 

Once done, click on “Save”  then “Publish” at the top of the screen. After it has been published, close the window

 

 

Under the “Sales” section, you will now find the AMP icon.

 

Click on the AMP icon and then click on “New

 

 

Click on the icon and then on “Marketing

 

 

Click on “AMP Extensions

 

Click on “New

 

 

Fill in the login details and then click on “Save & Close”.

 

You can view the user name after logging in.

 

Click on the user name to view the AMP dashboard.

 

 

Adding “AMP Status” column to your Contacts & Leads section

To add “AMP Status” column to you Contact & Leads section, click on the drop-down menu


Click on “Settings


Click on “Customizations


Click on “Customize the System

 


Click on the arrow next to “Entities


Click on the arrow next to “Contact


Click on “Views


Double click on “My Active Contacts


Click on “Add Columns

Select “AMP Status” & click on “OK


Click on “Save and Close

Similarly, to add AMP Status to your Leads section scroll down and click on the arrow next to “Lead


Click on “Views


Double click on “My Open Leads


Click on “Add Columns


Select “AMP Status” & click on “OK


Click on “Save and Close


Click on “Publish All Customizations


The AMP Status column has now been added to you Contacts….



As well as your Leads section


 

 

Syncing your existing Dynamic Contacts with AMP

 

Click on the icon and then click on “Marketing



Click on “Contacts


Under the contacts section, select the contacts that you wish to send to AMP



Select “Sync with AMP


Note:
You can sync multiple contacts

You will receive a message of successful syncing with AMP


To view the default recipient list in the CRM, select the user name and click on the “Edit” icon. You will be able to view “msdynamics” here

 

 

Go to AMP and click to expand “Connections” and then click on “Contacts


You will now find your Dynamics contacts in AMP.

 

Synching your Dynamics Leads with AMP

 

Under the “Marketing” section, click on “Leads”.


Under the leads section, select the leads that you wish to send to AMP


Select “Sync with AMP

Note: You can sync multiple leads.


You will receive a message of successful syncing with AMP.



To view the default recipient list in the CRM, select the user name and click on the “Edit” icon. You will be able to view the default recipient list “msdynamics” here


Go to AMP and click to expand “Connections” and then click on “Contacts



You will now find your Dynamics leads in AMP


By default your leads/contacts also get added to a recipient list named “msdynamics” that gets created in case you have not selected any recipient list


Note:
As you create a new lead or a contact in Dynamics, it automatically gets updated in AMP’s “contact record” section. The information present in these five fields get reflected in AMP (First Name, Last Name, Email ID, Company Name and Business phone)

 


If you wish to send a contact/lead to a particular recipient list in AMP, click on the name of the contact/lead


Select a recipient list created in AMP from the AMP Recipient List down-down menu

Once done, click on “Save & Close


Your contact/lead has now been added to the recipient list of your choice

 


How to access AMP dashboard

Click on the icon and click to expand “Marketing”. Then click on “Contacts

 


You can view the AMP dashboard option here


If you click on any of the contacts, you will be unable to see the AMP dashboard option

In this case, click on the “More Commands” icon and you will get a drop down list. In that you can view the AMP dashboard


You will be redirected to the AMP dashboard


Note:
You can view the dashboard in a similar manner in the Lead section also.


If you click on “AMP Assets”, you will be redirected to the “Print Documents” page

     


If you click on “AMP Internal Playbook”, you will be redirected to the internal playbook of AMP

  

       


If you wish to view the status of a particular lead or contact, simply click on the name of the lead/contact

 


Scroll down to see the complete status of your leads/contacts



Sending emails, print, eBooks, web created in AMP via Dynamics CRM

 
Click on the icon and click to expand “Marketing” and then click on “Leads


If you wish to send an email, print, eBook, web created in AMP via Dynamics, select the contact/lead

 


Click on “More Commands


Click on “Send AMP Email” to send an email


You will be redirected to send an email through AMP


Click on “Create AMP Sales Material” to create a new media of a print, eBook or web for the contact/lead


You will be redirected to Create Sales Material page


Click on “Manage AMP Sales Material” to send an already created media to the lead/contact


You will be redirected to Manage Sales Material page


To add contact to an existing drip in AMP, select “Nurture Campaign


If you click on “add” the contact/lead will get added to the drip campaign and if you click on “remove” the contact/lead will get removed from the drip campaign

 

Note: You can follow the same procedure for contact section.



How to import CRM Contacts to AMP

Click on your username at the top of the screen


Click on the “CRM Connectivity” button


Click on “Login to Activate


Enter your MS Dynamics login credentials & click on “Save

You will receive a message saying “Account Connected” after clicking on “Save



CRM has now been synced with AMP account

 

You can see the “Sync Time Interval” and “Map Fields” section

Note:

  • You can only view “Map Fields” if you are a super admin.
  • Based on the approximate sync time the contacts will get synced from the CRM to AMP. If any new contacts are added to the CRM, it will get synced to AMP as per the sync interval selected.
  • You will be able to see the default mapped fields which can be changed as per your requirement. After selection, click on “Save”.

 


You will receive a message for successful mapping of fields

Note: Based on the mapping, the contacts will get synced to the AMP.

 

Sending your AMP contacts to Dynamics

Before you can send your AMP contacts to Dynamics, you need to sync your AMP with Dynamics CRM

Click on your user at the top of the screen


Click on the “CRM Connectivity” button


Click on “Configure


You will need to enter your Dynamics Directory ID and Resource URL, directions on how to obtain these here: How to get Directory ID


You will receive a message saying “Account Connected” after clicking on “Save

 

 You can see “Map Fields” section

Note:

  • You will be able to see the default mapped fields which can be changed as per your requirement. After selection, click on “Save”.

Click next to sync settings

Set the following basic settings:

  • Set time interval to 1 hour, 6 hours or 12 hours. (We only recommend 10 minutes for testing)

  • Source of Truth will determine which product has the most up to date data and should be considered the standard for data.
    • CRM selection: The product will never overwrite data in CRM and will only apply a value to a database record if the record is blank inside of CRM.
    • AMP selection: The product will overwrite CRM data, and consider the data inside of AMP to be the standard. The CRM will only apply data to AMP if the field inside of AMP is empty.
    • Both selection: the system will overwrite data both ways and new data will push from AMP based on lead score activity of contact record or manual pushing, and pull data to overwrite in AMP based on recent modified data from CRM.

  • Is Blank Field Mandatory? Selection:
    • If Checked: The product will not sync a contact record if there is required field on the receiving CRM.
    • If Unchecked: the product will apply an “unknown” value to any required fields when syncing.

 

 

Click Finish, then wait a few hours for your sync to complete.


Click to expand “Connections” and then click on “Contacts


Click on the contact.


Click on “Views” and then click on “Report


Click on “Push To CRM

Note:

  • If there is a contact created in AMP which is pushed to the CRM, it will go to the Leads section.
  • If there is a Lead in the CRM which is pushed to AMP and later gets updated in AMP, the lead when later pushed to the CRM will go to the Leads section.
  • If there is a contact in CRM which is pushed to AMP and later gets updated in AMP, the contact when later pushed to the CRM will to the Contact section.

 

You will now find you AMP contact under the lead section of Dynamics CRM


Let’s say you wish to send all Contacts from AMP based on interest level to Dynamics section (CRM)


Click to expand “Setup” and then click on “Lead Scoring


Click on “CRM” and select “Hot” from the “CRM Push” drop-down menu

Note:

  • The “Disabled” option is selected by default. If the option “Disabled” is selected, then you will be unable to push anything from the AMP to CRM.
  • If you select any CRM Push option, then the contacts having that interest level and interest level above that will be automatically pushed.
  • IF you select the CRM Push option for e.g. “Medium”, then the contacts having interest level “Medium” and the above that i.e. “High, Hot” will be automatically pushed.

 

Once done, click on “Apply CRM Settings


All your hot leads from AMP will now be pushed automatically to Dynamics Lead section



Exporting your AMP “to-dos” to your Dynamics CRM account

 

Note:To-dos” can be exported only for contacts who are present both in AMP and Dynamics CRM.

As a “To-do” gets created for any of your contacts/leads in AMP, the “to-do” automatically gets exported to the Dynamic CRM. In the AMP, you can view the to-dos in the To-do section of sales dashboard



To view the To-dos in the Dynamic CRM

 

Click on “Dashboards” and scroll down


On “My Activities” section, you can view the “Activity Status


For closing the task from the AMP section, click on the check box. You will receive a message for marking the To-do as completed. Click on “Yes


Click on the “Completed” tab. The contact that was marked to be closed will be striked out


Note:
Any changes made to the AMP section will reflect in the Dynamic CRM in 10 minutes (approximately) and the Dynamic CRM section will reflect “Closed” in the “Activity Status” section


You have successfully exported your AMP “to-dos” to your Dynamics CRM account.

Note: Make sure to click "save" when updating a contact or lead in Dynamics to sync it with Mindmatrix.

Once your integration is setup, contacts and leads will be synced based on the time interval selected. If you would like to update a pre-existing contact with new values in the Dynamics CRM fields, update the information and make sure to click the "save" icon on the bottom right hand side of the window in Microsoft Dynamics. The save button is what triggers Mindmatrix to update that contact's information as well.

By default, Mindmatrix will not import any contacts or lead listed as "Do Not Allow" in the "Bulk Email" field. If you click the save button, it will import that contact manually, then will update their unsubscribe information on the next sync interval set during the integration in Mindmatrix.
